Customer and lead management
Are customers slipping through the gaps between emails and spreadsheets?
We bring lead generation, follow-up and communication together in one place.
Adapted to how you sell today · We make use of the tools you already have
More leads do not fix what gets lost afterwards.
Sometimes the problem is not a lack of opportunities: it is making better use of those already arriving. And if you genuinely need more, we work on that here.
You can invest in advertising, work on search rankings, receive referrals, have website forms, take calls and reply on WhatsApp, and still lose customers. Not because opportunities are missing, but because there is no clear process for handling them once they arrive.
Every opportunity has a cost. If nobody responds in time, nobody knows who is handling it or follow-up depends on someone remembering to call, part of that investment is lost.
Sending a hundred more opportunities into the same process does not fix the problem. It amplifies it.
Signs
How to lose a customer you already had.
If two or more of these sound familiar, lead generation is not the problem.
- Nobody responds in time.
- Two people call the same contact because nobody knows whose turn it is.
- An enquiry gets buried in email.
- A quote is sent and nobody follows up.
- The customer writes through another channel and starts another conversation.
- A week later, nobody remembers what needed doing.
What your team should see
Every opportunity should have a next step.
When a new contact arrives, this should be visible without asking anyone:
- Who they are.
- What they need.
- Where they came from.
- When they contacted you.
- Who is handling them.
- What stage they are at.
- What has been discussed.
- What has already been done.
- What is still pending.
- When to contact them again.
Without searching emails or relying on anyone's memory.
From the moment an opportunity arrives until it becomes a customer, what happens next should always be clear. A contact with no next step is a contact that will go cold.
Follow-up is where customers are lost.
Almost nobody buys at the first contact. Some need information, others a call, others to compare options and others several days to decide. The problem arises when that time is left unmanaged.
What you hear in the meantime
-
Day 1
We will call them tomorrow.
-
Day 4
I think someone has already written to them.
-
Week 2
We sent the quote last week.
-
And that is it
I do not know whether they replied.
Follow-up should not depend on remembering. It must be part of the process.
How you sell
Your sales process, not a generic CRM's.
Every business sells differently. One needs five stages, another twenty, with its own data, teams and rules.
It is not about implementing another CRM. It is about organising your sales process.
And the process does not end at the last box in the funnel. What is collected during lead generation —conversations, documents, quotes, appointments and history— remains useful afterwards, rather than disappearing from a sales list so you can start again in another system. A customer relationship does not end with a yes: that is where it begins.
Measure
Do not just measure how many contacts arrive.
Measure what happens to them afterwards. One source may bring many contacts and few customers; another, fewer but better ones. When lead generation and management are connected, you can answer better questions:
- Which channel brings opportunities?
- Which ones convert?
- Where do they get stuck?
- How long do we take to reply?
- Which enquiries are lost?
- Which salespeople are handling them?
- Which teams have the heaviest workload?
- Which campaigns generate real business?
When you know where opportunities get stuck, you know where to invest.
The customer does not wait for you to decide who owns the enquiry.
When several people handle customers, another problem appears: who deals with each enquiry, what happens when that person does not respond and who covers holidays.
We organise assignment and follow-up around how your business works: by responsible person, team, area, service, specialism, priority, availability, source or your own rules.
Follow-up that does not need a person is automated: confirming receipt, notifying the person responsible, creating a task, reminding someone to call, requesting documents, sending appointment reminders, detecting stalled opportunities or escalating those left unattended too long.
We automate the process; decisions stay where they belong.
There is no need to start from scratch.
The two most common starting points, and what we do with each.
-
Already using a CRM?
You do not necessarily have to change it. The problem may be lead generation, follow-up, communications, integrations or simply configuration. First we look at what is failing: if what you have is useful, we use it; if it can be connected, we connect it; and if it has reached its limits, we propose an alternative.
-
Still using Excel?
With ten contacts, it works perfectly. The problem starts when customer numbers, channels, team members and follow-ups grow, and the spreadsheet becomes the business's sales system. A spreadsheet stores information; it cannot manage what should happen next for you.
Over 25 years in the technology sector and market.
We have worked with lead generation, advertising, management systems, communications and sales processes. That teaches a simple lesson: winning an opportunity and managing it are parts of the same problem. Filling the entrance is useless if the process loses customers along the way. That is why we do not start by asking which CRM you want, but how a customer enters your business today and what happens next.
